The Problem

You do the work.
Then you wait to get paid.

Every month, subcontractors across the UK lose thousands to late payments, missed retention releases, and hours wasted on admin that should be automatic.

Spreadsheet chaos

Tracking applications across 10+ sites in Excel. Copy-paste errors. Lost versions. No single view of what's owed.

Chasing payments manually

Writing the same "just following up" email every month. No system for escalation. The QS sits on your application for weeks.

Forgotten retention

Practical completion comes and goes. Nobody flags the retention release. Thousands left sitting with the contractor.

The paperwork scramble

Main contractor wants your EL certificate, your SSIP, and every lad's CSCS card — by Friday. You're digging through emails and the van glovebox.

How It Works

Two modes. One app.
Built for how you work.

Whether you're a sole trader doing brickwork for a local builder, or a £5m+ subcontractor working under main contractors with QS certification — SubbyWise adapts to you.

1Standard Mode

I send my application, I get paid.

You submit applications directly to your client and track what comes back. No middleman, no fuss.

Best for

Kitchen fitters, electricians, plumbers, bricklayers — anyone working direct for a builder.

2QS Certification Mode

I claim, the QS certifies, then I get paid.

SubbyWise tracks what you claimed, what the QS certified, and flags the variance — so you can challenge shortfalls with the numbers in front of you.

Best for

M&E contractors, groundworkers, cladding specialists — anyone under a main contractor on JCT.

You choose your mode in a guided setup wizard — payment structure, VAT, CIS, retention and payment terms, each explained in plain English. Your mode locks once you create your first application, so nothing switches mid-project. See the full feature list →

Key Features

Your entire payment workflow.
Not just another tool.

From setting up a new site to chasing the last retention payment — and the certificates the main contractor wants before any of it starts.

Payment Matrix

An Excel-style grid — plots down the side, stages across the top. Assign house types to auto-populate, then click stages complete to generate your application.

Stage-Level Tracking

Payments allocated to individual plot and stage. "Plot 3, 1st Fix = £14,580 received" — not a lump sum you have to unpick.

Remittance Reconciliation

When money hits the bank, match it to the stages it paid for. Underpayments and overpayments flagged automatically.

CIS, VAT & Retention

Domestic reverse charge, CIS with a proper materials split, retention held and released — correct on every application without a spreadsheet formula in sight.

Compliance Tracking

Insurance, SSIP accreditations, CSCS cards and training tickets — with expiry alerts, a training matrix and a branded pack you can send the QS.

Accounting Export

Sage 50, Xero, QuickBooks Online and a plain accountant CSV — with your nominal codes and reverse-charge tax codes already mapped.

New — Compliance

The certificates that stand between you and the site gate.

Insurance, SSIP accreditations, CSCS cards, training tickets — all in one place, with expiry alerts before they lapse, a traffic-light training matrix, and a branded compliance pack (with the actual certificates merged in) you can send the QS. Or send a live link that's never out of date.

Questions

The things subbies ask us first.

Do I need to change how my client pays me?

No. SubbyWise models the way housebuilders and main contractors already work — you set your cut-off day, payment terms, retention and CIS per project, and the app follows your contract rather than the other way round.

Does it handle CIS properly?

Yes — including the materials split, so the deduction is taken on labour only, and CIS on retention release when the money finally comes back. Domestic reverse charge VAT is built in too.

Can my accountant get the figures out?

Sage 50, Xero, QuickBooks Online and a generic accountant CSV, with your nominal codes and tax codes mapped once in settings. Retention, variations and contra charges come through as their own lines.

What if I use a freelance QS?

Give them their own login. They prepare and submit applications inside the system, so you see exactly what went out and when payment is due — without handing over your whole account.

Does the site app work with no signal?

Yes. It installs on an Android or iPhone like an app, and the whole booking flow works offline — assessments queue on the phone and sync the moment signal comes back.
